Bring your active rentals over mid-cycle
The hard part of switching rental software is the jobs already on rent. SiteRento imports them with their billing dates, so nothing is billed twice and nothing is skipped.
Import the jobs you already have
The Import Projects wizard takes a spreadsheet of active jobs and walks you through upload, field mapping and a preview before anything is written. For each job it creates or matches the customer, job site and contact, then sets up the project with its billing rules, a record of the original install and the equipment on site.
Keep billing where it left off
Give each job a rental anchor date. Periods that already passed count as billed, so no customer gets an invoice for a period they already paid under your old system. If a date is wrong, re-anchor the billing cycle later.
Bill the periods that slipped
If some periods were never invoiced, Catch Up Billing drafts one invoice per missed cycle for you to review. Nothing is emailed, charged or synced until you send it, and payments you already collected can be recorded against the drafts.
Start from QuickBooks Online
Connect QuickBooks Online to pull in your customer list, with sub-customers as job sites, and link your items and prices. From then on, invoices post back to QuickBooks. See the QuickBooks Online integration.
Clean up as you go
- Import and export templates for inventory items, projects and pricing templates, with a dry-run preview of every change.
- Merge duplicate customers: sites, contacts, projects, quotes and invoices move to the one you keep.
- The rental setup wizard builds your first billing group, pricing template and inventory items.
What to have ready
- A spreadsheet of active jobs: customer, job site address, equipment on site, rates and billing start date.
- Your equipment list by yard.
- Your QuickBooks Online login, if you use it.
Once the jobs are in, rental billing takes over from the next period.
Frequently asked questions
Do we have to switch at the start of a billing cycle?
No. Each imported job carries a rental anchor date, and periods before it count as billed. Billing picks up with the next period.
Can you import our past invoices and payments?
No. SiteRento imports active jobs, the equipment on site and your customers, not invoice or payment history. Past invoices stay in your accounting system.
We use QuickBooks Online. What comes over from it?
Your customer list, with sub-customers as job sites, plus your items and prices. Once connected, new invoices post back to QuickBooks.
Who runs the import?
An admin on your account runs it, with a preview before anything is written, and the SiteRento team helps with setup.
