Keep QuickBooks Online in step with every rental
SiteRento pushes invoices to QuickBooks with the right items, tax codes and job site, and marks them paid once they're paid in QuickBooks. Your bookkeeper keeps working in QuickBooks.
What syncs
- Customers: pushed to QuickBooks when you create or edit them. Starting out, pull your customer list from QuickBooks, and its sub-customers come in as job sites.
- Job sites: each job site becomes a sub-customer, and its invoices post to it.
- Invoices: pushed with mapped items, tax codes, the service period and the customer’s PO. Re-sending updates the same QuickBooks invoice instead of making a new one. Paid and past-due status come back from QuickBooks.
- Items and prices: import, link or create items. Price edits push automatically, and you can pull prices back from QuickBooks.
- Stock: push or pull inventory counts when you choose.
Choose who sends invoices
- SiteRento only: SiteRento emails the invoice and posts it to QuickBooks in the background.
- QuickBooks is the system of record: SiteRento pushes to QuickBooks and sends nothing.
- QuickBooks for accounting, SiteRento for communication: SiteRento pushes to QuickBooks, then emails the invoice with QuickBooks’ Pay Now link.
Sales tax in the US and Canada
In the US, each line is taxable or not and QuickBooks calculates the tax. For Canadian companies, SiteRento applies your GST/HST code and exempt code, and holds a push with an explanation if either is missing.
When a sync fails
Customer and item syncs retry automatically, and anything that still fails waits in the Sync Queue with Retry and Cancel. Invoice push errors show on the invoice itself, so nobody has to dig for them.
Payments through QuickBooks
Turn on QuickBooks Payments and your invoice emails carry QuickBooks’ Pay Now link. Autopay on recurring rentals runs in QuickBooks Payments. Paid invoices show as paid in SiteRento.
Built for rental billing
Rental invoices are drafted in SiteRento on your billing cycle and pushed to the right job site. See rental billing.
How it works for your trade
Temporary fence
Each job site gets its own sub-customer, so a general contractor’s invoices stay separated by project in QuickBooks. See temporary fence rental software.
Roll-off dumpsters
Container rentals and delivery charges post with the items you already use in QuickBooks. See dumpster rental software.
Portable restrooms
Per-visit and recurring service charges post as mapped QuickBooks items alongside the unit rental. See portable restroom software.
Frequently asked questions
Does it work with QuickBooks Desktop?
No. SiteRento connects to QuickBooks Online only.
Do payments sync?
When an invoice is paid in QuickBooks, SiteRento marks it paid. Payments your customers make through Stripe in the customer portal post to QuickBooks as payments. Payments you record by hand in SiteRento stay in SiteRento.
Does it handle Canadian sales tax?
It supports GST/HST with one tax code plus an exempt code, and blocks a push with an explanation if either is missing. PST and QST aren't supported yet.
Who sends the invoice, SiteRento or QuickBooks?
You choose. SiteRento can email invoices and post them to QuickBooks in the background, push to QuickBooks and send nothing, or push to QuickBooks and then email the invoice with QuickBooks' Pay Now link.
