Bill every rental period without rebuilding invoices by hand
SiteRento drafts each rental invoice when it comes due, on the cycle you set, and adjusts for equipment added or removed mid-cycle. You review it, then send.
Billing cycles that match how you rent
Set the rental terms once for the company, then override them for a customer or a single job.
- Periods: 28-day cycle, daily, weekly, calendar monthly or a custom length.
- Timing: bill in advance or in arrears.
- Partial periods: prorate, charge the full period, or apply a minimum charge. Credits for the final period follow their own setting.
- First period on the install invoice: approving the install work order starts the billing clock on the install date.
Invoices that match what’s on site
Invoices come from what your crews recorded, not from what the quote assumed.
- Approving a completed work order drafts an invoice from the quantities the crew recorded.
- Changes mid-cycle are reconciled. With billing in advance, additions go on a supplemental invoice and removals become a credit memo.
- Open credit memos apply to the next rental invoice automatically, oldest first.
- When you complete a job, Quote vs Actual Variance shows where it drifted from the quote.
One queue for everything due
The Rental Queue shows every rental that’s due, the invoices drafted and waiting to send, and the jobs that need a final invoice. Generate All Due drafts them in one pass, including periods that were missed. Turn on Auto-Send Invoices and each invoice goes out when you mark it reviewed.
Charges beyond rent
- Service billing: per visit when the work order is approved, a recurring fee per deployed unit, or both.
- Percentage rules: charge a share of the fixed rental charges, with an optional minimum.
- Flat-total contracts: bill an agreed amount once, upfront, and leave those items out of recurring rent.
- Prepaid rentals: track a prepaid balance, then switch the job to recurring billing when you’re ready.
Rentals that run past their end date
A rental keeps billing every period until the job is completed, so the extra weeks bill like any others. Overrun alerts tell your team in the app and by email when a job passes its planned end.
Invoices in QuickBooks Online
Rental invoices push to QuickBooks with mapped items and tax codes, posted to the job site’s sub-customer, and show as paid in SiteRento once they’re paid in QuickBooks. See the QuickBooks Online integration.
How it works for your trade
Temporary fence
28-day billing is the default. Starter rate lines cover install, lease, gates, privacy screen, sandbags, remobilization and takedown, and prepaid rentals track their balance in linear feet. See temporary fence rental software.
Roll-off dumpsters
Bill container rentals by the day, week or month. Delivery can be priced by driving distance on the quote, and the rental bills until the container comes back. See dumpster rental software.
Portable restrooms
Bill service per visit as crews complete it, as a recurring fee per deployed unit, or both, alongside the unit rental. See portable restroom software.

Frequently asked questions
How does 28-day billing work in SiteRento?
Each rental bills in 28-day periods from its billing start date, which is the install date once the install work order is approved. When a period comes due, SiteRento drafts the invoice for review. Billing continues every period until the job is completed, so a rental that runs long keeps billing.
What happens when equipment is added or removed mid-cycle?
With billing in advance, units added mid-period go on a supplemental invoice and units removed become a credit memo. With billing in arrears, each invoice reflects what was on site, and the final invoice is created when the job is completed. You choose whether partial periods are prorated, charged in full or held to a minimum.
Can invoices go out automatically?
Due invoices are drafted automatically. Turn on Auto-Send Invoices and each one is emailed with its PDF as soon as you mark it reviewed.
Can I bill service visits separately from rent?
Yes. Service can bill per visit when the completed work order is approved, as a recurring fee per deployed unit each period, or both.
Can I move rentals that are already on rent?
Yes. The project import sets a rental anchor date, so periods that already passed count as billed and nothing is billed twice. If some periods were never invoiced, Catch Up Billing drafts one invoice per missed cycle.
