Best Porta Potty Software in 2026: How to Compare Your Options
A fair buyer's guide to porta potty software in 2026: the features portable restroom operators should compare, the vendors grouped by type, and how to choose.
Short Answer
There is no single best porta potty software. The right pick depends on what you run and how big you are.
- Portables and septic are most of your business: start with the portable sanitation specialists, ServiceCore, PJR Software and PortaPro.
- Portables are one of several lines: look at platforms that run roll-off, septic or temporary fence in the same system, such as CRO, Basestation, Starlight and SiteRento.
- Many branches or a large mixed fleet: consider a rental management system such as MCS, Point of Rental or Alert.
- A small office built around QuickBooks, or several trades: The Service Program or QuoteIQ can work, if you check the rental billing closely.
Whatever you shortlist, run one real job through each tool: a delivery, weekly service, a partial pickup and the invoice.
This guide is written by SiteRento, which sells porta potty software. We include our own product in the list and say where it is weaker. Every statement about another vendor comes from that vendor's own website, linked in the text and listed under Sources at the end, all checked on September 29, 2026. Features and prices change, so confirm them with the vendor before you buy.
What Porta Potty Software Does
Porta potty software runs a portable restroom rental business from order to invoice. It holds the customer and job site, the units placed there, the service schedule, the driver's route, the record of each visit, and the bill. You will also see it called portable toilet software, portable restroom software or portable sanitation software. They mean the same thing.
The work is different from most rental. A unit does not just go out and come back. It sits on a job site for weeks or months and needs service on a schedule, often weekly. So the software has to handle two things at once: the rental of the unit and the recurring service visit. Each has its own schedule, and often its own price.
It also has to handle change. A contractor adds three units when the crew grows. An event needs a hand-wash station for one weekend. A site winds down and you pick up half the units. Each change touches the unit count, the service route and the invoice. Good software updates all three from one action. Weak software leaves your office to fix them by hand.
The Features That Matter for Portable Sanitation Operators
Most software lists rank tools by review count. That is a poor place to start. A well-reviewed tool can still miss the one workflow your business runs on. Fix your criteria first. These eight separate a good fit from an expensive mismatch.
Recurring service scheduling
Service visits should create themselves from the job, on the cadence you agreed with the customer: weekly, twice a week, or daily for an event. The schedule should end when the units are picked up, so nobody drives to an empty site. Ask how the schedule changes when units are added or removed.
Proof of service
When a customer says a unit was not serviced, you need a record: a photo, a time, and often a signature. The driver should capture it in the app at the stop, and it should stay attached to the job.
Per-visit and per-unit billing
Operators price service in different ways. Some charge per visit. Some charge a fee per unit each period that includes service. Some do both, plus extra pumps. The software should bill the way you sell, on the rental cycle you use, whether that is 28 days or a calendar month.
Unit tracking by job site
You should see how many units of each type sit at each site today, and how many will be free in the yard next week. Standard units, ADA units, hand-wash stations and restroom trailers usually rent at different rates, so they need to be counted apart.
Routing
Service routes repeat every week, but deliveries, pickups and extra pumps get added every day. The software should build the day’s route and let dispatch add a stop without rebuilding everything.
QuickBooks and accounting
Most small and mid-size operators keep their books in QuickBooks. Check which version the software supports, Desktop or Online, and what moves between them: customers, invoices, payments.
A crew app drivers will use
Drivers work from the truck, often with weak signal. The app should show the stops, take photos and signatures, and let the driver mark what was done. Ask whether it needs an app store install and what happens when there is no signal.
Customer portal
A portal lets customers see invoices, pay and check service history without calling the office. It matters more once you have many accounts.
Septic pumping and waste disposal records are a separate need. If you pump septic tanks or must keep disposal paperwork, ask each vendor about it directly. Not every porta potty tool covers it.
How to Compare: A Demo Checklist
Feature lists look alike. The differences show when you run your own job through the system. Bring one real job to every demo and ask the vendor to do these steps while you watch.
| Step | Ask the vendor to | A good result |
|---|---|---|
| Deliver | Deliver four standard units and one hand-wash station to a new job site. | The site shows five units by type, and the yard count drops. |
| Start service | Set weekly service, starting the first service day after delivery. | Visits appear on future routes without anyone creating them by hand. |
| Service stop | Complete one visit in the driver app with a photo and a signature. | The record sits on the job with the time and the driver. |
| Bill | Run the first billing period. | Rental and service lines are right, on your cycle, with no manual edits. |
| Add units | Add two units partway through the period. | The unit count, the service work and the next invoice all change. |
| Partial pickup | Pick up three units. | The count drops, future service covers only what is left, and billing adjusts. |
| Final pickup | Pick up the rest. | Service stops and the last invoice closes out the job. |
| Accounting | Sync the job to your QuickBooks. | The customer, the invoices and the paid status match on both sides. |
Then ask four questions about cost and effort. What is the total first-year cost, including setup and data migration? What does card and ACH processing cost? How long is the contract? How long until your team is live?
The Vendors, Grouped by Type
The porta potty software market sorts into four groups. Tools in the same group are built for a similar buyer, so compare within a group first. Descriptions come from each vendor's own site, and they are not ranked within a group.
Portable sanitation specialists
These tools are built around the portable restroom business, usually with septic and sometimes roll-off alongside. They are strongest when portables are most of your revenue.
ServiceCore
ServiceCore says it is built specifically for portable rental, septic and dumpster rental businesses, and that it is best for operators with multiple trucks. Its site describes 28-day billing cycles and daily batch billing, a map of every unit including those in the yard, a calendar of unit availability for future dates, and route optimization. Its driver app for iOS and Android gives turn-by-turn directions, records photos and signatures, marks jobs completed, partly completed or unable to complete, and flags extra charges.
ServiceCore says it does not put GPS on units or trucks; units and drivers are located through its mobile app. It describes itself as QuickBooks compatible and lists a customer portal. Pricing comes from a personalized demo. Its FAQ says it is billed monthly on an annual contract, and that setup typically takes 6 to 12 weeks.
Built for: A multi-truck portables and septic business that wants an industry-focused team to set it up.
PJR Software (Porta-John Rental Software)
PJR Software is a division of Yagna Soft LLC in Peoria, Arizona. It is built for portable restroom operators and also lists septic and roll-off. Its site describes drag-and-drop, map-based scheduling, AI-optimized routing that assigns delivery and service tickets to recurring routes, a mobile app for drivers, and inventory tracked by scanning barcodes or QR codes. Billing covers batch billing, proofing, pause billing, contract billing and progressive billing, and it connects to QuickBooks Online.
PJR publishes its pricing: $65 per month for each admin user and $45 per month for each mobile app user, month to month, with no contract and no onboarding fee. Data conversion and onsite training are billed by the hour. Its pricing page offers 30 days of free licensing to new customers who start after a demo, and its FAQ puts onboarding at about 14 to 30 days.
Built for: An operator who wants to pay by user, month to month, and get started quickly.
PortaPro
PortaPro is built for portable sanitation, roll-off and septic operators. Its site lists unit pins that show each unit’s spot on the site map, an offline-first mobile app, route optimization, tank-aware route planning, 28-day invoicing, QuickBooks Online sync, a customer portal, a septic module, and GPS trackers for trucks with battery tags for units.
PortaPro publishes its pricing: Starter at $149 per month, Core at $229 and Growth at $309, with custom pricing for multiple locations. Every plan includes unlimited users with no per-unit fees, and annual billing saves 30%. It offers a 7-day free trial that needs a payment method.
Built for: An operator who wants published prices, unlimited users and a wide feature set in one subscription.
Waste and site-services platforms
These platforms run several lines of work in one system, with portable toilets next to roll-off dumpsters, septic, solid waste or temporary fence. They are strongest when portables are one of several lines you run.
CRO Software (RapidWorks)
CRO Software is now part of RapidWorks and covers roll-off, portables, septic, and scrap and recycling. Its portable restroom page describes recurring routes that are dispatched automatically, with one-off stops added for the day without changing the schedule. Drivers capture photos and signatures, add billable items, plot unit locations on a job-site map and route to the nearest pump-out facility. Completed jobs become invoices, including recurring service billing, with QuickBooks sync. Customers can request service themselves.
CRO’s own site says it charges no training or setup fees and starts with a 30-day flexible cancellation. Pricing is by quote.
Built for: An operator who runs portables with roll-off or septic and wants one system across them.
Basestation
Basestation is hauling software made in Toronto. It covers roll-off, commercial and residential waste, portable toilets, septic and dump trucks. Its portable toilet page describes tracking where units are, how long they have been out and when they need to move, and sending job details to drivers’ phones. Its feature pages add rental fee calculations for extra rental days, inventory on a map, card and ACH payments with auto-pay, and a driver app with notes and photos.
Pricing is not listed on its site; you book a demo.
Built for: A roll-off or hauling business that also places portable toilets.
Starlight Software Solutions
Starlight is waste software built around roll-off, commercial and residential collection, with a portable toilet line. Its portable toilet page describes tracking services by toilet, billing per service, per toilet or per gallon for tank pumping, putting accounts on hold for seasonal stops, a QuickBooks Online application, and a customer portal.
The page is short and still refers to a 2022 launch, so ask for a demo of the current portable toilet workflow. Pricing is by demo.
Built for: A waste hauler whose portable toilet line is smaller than its collection work.
SiteRento
SiteRento publishes this guide. It runs portable restrooms, roll-off dumpsters and temporary fence in one system. What it does, and where it is weaker, is set out in the section on where SiteRento fits below. Pricing is on request.
Built for: An operator who runs portables with temporary fence or roll-offs and bills on rental cycles.
Rental management systems
These are broad rental platforms used across equipment, event and specialty rental, each with a portable sanitation offering. They are strongest for larger or multi-branch companies, or for rental houses that rent restrooms next to other equipment.
MCS Rental Software
MCS has a portable restroom solution that connects route scheduling, servicing cycles, contracts, billing, CRM and reporting. Its page describes proof of service with digital signatures, drag-and-drop route optimization, waste transfer notes, a 24/7 self-serve customer portal, telematics, and cloud hosting.
MCS says it is particularly suited to larger unit fleets, multiple drivers, high-volume service schedules, or more than one yard. Pricing is by contact.
Built for: A large fleet run from several yards.
Point of Rental
Point of Rental says it serves more than 5,000 rental businesses and has a portable sanitation solution. Its page describes recurring pump-out schedules built from the contract, service history per unit and per employee, delivery, pickup and service routing with live truck tracking, photos and signatures at the stop with completion alerts to customers, purchase orders tied to the contract, and the POR One mobile app. An add-on, the Rental Intelligence Suite, reports per-unit and per-route profitability.
Its pricing page says pricing is tailored, with two users included; it does not publish figures.
Built for: A larger rental company that wants restrooms in the same system as its other rental equipment.
Alert Rental Software
Alert has served rental companies since 1976, mainly equipment, tool and event rental. Its FAQ says it also works with specialized industries such as portable sanitation. Its site lists the Rover mobile app for pickups, returns, signatures, photos and inspections, cycle billing with auto-pay, GPS with dispatch, a customer portal, and accounting integrations with QuickBooks, Sage and NetSuite.
Alert publishes its pricing: the Starter subscription starts at $200 per month with a $1,000 deposit, for one user and one location. The Alert Subscription starts at $500 per month with a $2,500 deposit, with up to four users included. Alert calls these figures illustrative: actual pricing depends on the configuration.
Built for: A general rental house that also rents portable restrooms.
General field-service tools
These tools are built for many service trades. They can work for a small operator, but check rental billing and unit counts closely.
The Service Program (TSP)
The Service Program, from Westrom Software, is service business software built around QuickBooks. It syncs with QuickBooks Desktop 2018 or newer and with QuickBooks Online. Its portable toilet page describes recording deliveries, pickups and product types (portable toilet, sink, holding tank, restroom trailer), tracking routes, inventory across locations and equipment by serial number, QR code tracking, prorated billing by the day, week or month, photos and signatures at the stop, and a customer app.
TSP publishes its pricing: $99.95 per month for one office user with a $349 onboarding fee, up to $344.95 per month for ten office users. The mobile app for field users is $79.95 per month for 1 to 14 users, and the customer portal is $59.95 per month.
Built for: An office that runs on QuickBooks, especially QuickBooks Desktop, and wants to keep it that way.
QuoteIQ
QuoteIQ is home service software for more than 50 industries. It lists five plans from $29.99 to $699 per month, from Essentials for one user to Max for unlimited users, at prices it says it checked on September 15, 2026. It pushes invoices and payments to QuickBooks Online.
QuoteIQ publishes its own ranking of portable toilet software. In it, QuoteIQ says it is not purpose-built for portable sanitation, has no native 28-day billing cycle, and that route optimization and inventory management start on its Elite plan at $299 per month.
Built for: A small operator who also runs other home services, or wants marketing tools in the same app.

How to Choose by Operation Size
One or two trucks
You need recurring service, proof of service, simple billing and a clean link to QuickBooks. Setup time and monthly cost matter more than depth. Vendors that publish prices let you budget before a sales call: PJR Software, PortaPro and The Service Program all do, and PJR and PortaPro offer a free start: 30 days of licensing after a PJR demo, a 7-day PortaPro trial. If you also run other home services, QuoteIQ may cover both. If you also rent fence or dumpsters, look at a multi-line platform now, before you have two systems to merge.
A growing fleet with several trucks
Routing, batch billing and unit counts by site start to matter more. Compare the sanitation specialists (ServiceCore, PJR Software, PortaPro) with the multi-line platforms (CRO, Basestation, SiteRento) if you run more than portables. Ask about the rollout. ServiceCore says setup typically takes 6 to 12 weeks; PJR says about 14 to 30 days.
Several yards or a large fleet
Multi-location support, user permissions and reporting across branches matter most. MCS says it is suited to larger fleets and more than one yard. Point of Rental and PortaPro's multi-location plan are other options. Expect a longer rollout and a quoted price.
Portables are one line of several
Pick the system that runs all your lines well. A separate system for portables means two customer lists and two sets of invoices to reconcile. Our guide to choosing site services software covers that decision in more depth.
Whatever you shortlist, the deciding test is the same job run through each tool. Deliver units, start weekly service, complete a stop with a photo, bill the period, pick up some of the units, and sync to QuickBooks. The tool that gets the count, the service and the invoice right without manual fixes is the one that will hold up on a Monday morning.
Where SiteRento Fits
This is SiteRento's blog, so read this section as our own description, not a neutral verdict. SiteRento's porta potty software is built for site-services operators who run portable restrooms, often next to roll-off dumpsters and temporary fence. Here is what it does for portables.
- Service that schedules itself from the install. When a crew completes a unit install work order, SiteRento can create the recurring service visits automatically. You set this on the install task template: daily, weekly, twice a week or chosen weekdays, every two weeks, or every 28 days, starting the first service day after the install or on a set date. The schedule ends on a date, manually, or when the covered units are picked up. Service tasks can be counted per covered unit, a partial pickup reduces future per-unit quantities, and the final pickup ends the schedule. More on dispatch and recurring service.
- Billing for rental and service. Service can bill per visit when the completed work order is approved, as a recurring fee per deployed unit each period, or both, alongside the unit rental. Rental cycles can be 28-day, weekly, monthly or custom, with proration. Due rental invoices are drafted for your review.
- A crew app in the phone browser. There is nothing to install. Crews take photos, collect signatures (which you can require) and check off service tasks. Photos taken without signal upload later.
- Units counted by job site. Counts come from completed deliveries and pickups. Standard units, ADA units, hand-wash stations and restroom trailers are set up as their own items with their own rates. You get a 30, 60 and 90-day availability forecast, and utilization, idle and shrinkage reports.
- Route optimization (beta). It orders each crew's assigned stops by drive time, with an ETA for each stop.
- Asset Management (beta). Serialized units with QR labels, location and service history.
- QuickBooks Online. Invoices, customers, and job sites as sub-customers sync to QuickBooks Online, and paid status comes back. Customers can pay by card or ACH through a QuickBooks Payments Pay Now link. Stripe payments are in early access, and the customer portal is in beta. See the QuickBooks integration.
- Other lines in the same system. Temporary fence and roll-off dumpsters run alongside portables.
Where SiteRento is weaker: it does not support QuickBooks Desktop. Route optimization, Asset Management and the customer portal are in beta, and Stripe payments are in early access. SiteRento is newer than most tools on this list, and it does not provide septic pumping or waste disposal compliance documents. If septic is a large part of your business, or your books run on QuickBooks Desktop, one of the tools above may suit you better. Pricing is on request.
To judge the fit, see how our portable restroom software handles service and billing, or book a demo and bring the job from the checklist above.
Frequently Asked Questions
What is the best porta potty software?
It depends on what you run. If portable restrooms and septic are most of your business, start with a portable sanitation specialist such as ServiceCore, PJR Software or PortaPro. If you run portables alongside roll-off dumpsters, septic or temporary fence, look at a platform that holds several lines, such as CRO, Basestation, Starlight or SiteRento. Large rental companies with several branches may prefer a rental management system such as MCS or Point of Rental. Whatever you shortlist, run one real job through each: a delivery, weekly service, a partial pickup and the invoice.
How much does portable toilet software cost?
Most vendors quote on request, but a few publish prices on their own sites. As of September 29, 2026: PortaPro lists plans at $149, $229 and $309 per month. PJR Software lists $65 per month for each admin user and $45 per month for each mobile app user. The Service Program starts at $99.95 per month for one office user plus a $349 onboarding fee, and its mobile app starts at $79.95 per month. Alert Rental's starter subscription starts at $200 per month with a $1,000 deposit, which Alert calls an illustrative figure. QuoteIQ lists plans from $29.99 to $699 per month. ServiceCore, CRO, Basestation, Starlight, MCS, Point of Rental and SiteRento quote on request. Ask every vendor about setup, data migration, card processing and contract length.
Does porta potty software work with QuickBooks?
Most tools connect to QuickBooks, but check which version. The Service Program works with QuickBooks Desktop 2018 or newer and with QuickBooks Online. PJR Software, PortaPro, Starlight and SiteRento connect to QuickBooks Online; SiteRento does not support QuickBooks Desktop. ServiceCore describes itself as QuickBooks compatible. In a demo, ask what syncs (customers, invoices, payments) and in which direction.
What should a small porta potty business use?
Pick a tool you can set up in weeks, priced for a few users, that handles recurring service and your billing cycle. Vendors with published prices and a free start, such as PJR Software (30 days of licensing after a demo) and PortaPro (a 7-day trial), or The Service Program with its published prices, let you test the fit before you commit. If you also run dumpsters or temporary fence, look at a platform that covers those lines too, so you keep one set of customers and invoices.
How is porta potty software different from general field-service software?
Porta potty software treats a unit as rental equipment that sits on a job site and needs service on a schedule. General field-service tools treat each visit as a job. The difference shows up in three places: billing that combines a rental cycle with service fees, unit counts by job site, and service that stops when the units are picked up. A general tool can work for a small operator, but test those three things before you buy.
What features matter most in portable restroom software?
Recurring service scheduling that ends at pickup, proof of service with photos and signatures, billing that handles both the unit rental and the service, unit counts by job site and unit type, routing, a crew app drivers will actually use, and an accounting integration that matches your books. A customer portal helps once you have many accounts.
Can one system run porta potties, dumpsters and fence?
Yes. Several platforms run more than one line. PortaPro, CRO and Basestation list portable toilets alongside roll-off and septic work. SiteRento runs portable restrooms, roll-off dumpsters and temporary fence. MCS and Point of Rental are broad rental systems. Check that each line bills the way it should, not only that it appears on the feature list.
The Bottom Line
The best porta potty software is the one that fits how you run service and billing. Sanitation specialists suit operators whose business is mostly portables and septic. Multi-line platforms suit operators who also run dumpsters or fence. Rental management systems suit larger, multi-branch rental companies. General field-service tools can work for small operators who check the rental billing closely.
Pick the group that matches your business, then run the same real job through two or three tools in it. Buy the one that gets the count, the service and the invoice right without manual fixes.
Run your own job through SiteRento
Bring a real job to the demo. Watch the install start weekly service, the invoice bill rental and service, and a partial pickup change the count.
